CollectMax allows operators to create new document variables with user-defined prompts and default values for items which we have not already created a document variable. These user-created variables are usually for text not found in a field on the account screens. For example, the variable prompt could read "Type in Filing Amt" and the default value could be $20.
The value can be modified at the time of document generation before printing.
Converted Dos Users: Default variables are the equivalent to spec variables in the DOS program.
To create a user-defined default variable, you must be editing the document in your word processor.
Go to , then

document and pick .
If using
Microsoft Word,
select from the task bar. If using Corel WordPerfect,
select
from the task bar.
Click the
and select to add a Global Document Variable or Individual
Document Variable. Global
Document Variables will be available for selection on all documents. Individual
Document Variables will only be available on the document that it was
created on.

In the Properties section of the screen, next to Name type in a short name for the new variable you are creating. It cannot contain any special characters or spaces (example: FileFee), and is a maximum of 15 characters.
In Prompt, type in a longer description
for the variable (example: Enter
Filing Fee $:). This area can contain special characters or spaces, and
is a maximum of 18 characters. This item will appear in the variable list for document
variables and on the document preview screen.
In the area for Default Value, enter the amount or wording that is mostly commonly used for this variable. This field may be left blank. When an operator previews the document they will be presented with the Prompt description and the Default Value. Before printing the document, they may modify or fill in the Default Value.
In the Characteristics section, select Character, Numeric or Date.
Fill in a maximum Length for the variable. If using a numeric type, you may need to fill in Decimals with 2.
Leave the Output Format section blank or set to none.
Click on
, then
to return to your document. The new
variable is now available for insertion in your document where you need
it to print.

to save your document.
